How to Create a Day-by-Day Safari Proposal in Zuru
Proposals Builder is Zuru's tool for custom trips that do not fit a standard catalogue listing. Instead of putting together a Word document, exporting a PDF, and chasing an EFT separately, you build the full itinerary inside Zuru, send a branded link to your client, and they accept and pay on the spot. The booking lands in your dashboard the moment payment clears.
Proposals Builder is available on Standard and Premium plans and lives in your dashboard alongside Experiences, Quotes, and Pricing Rules.
Steps
1. Start a new proposal
Log in at operator.tryzuru.com and click New Proposal from the Proposals section of your dashboard. Add the client name and email address, the trip title, the travel dates, the number of participants, and the currency. Zuru creates a draft and takes you straight into the builder.
2. Build your itinerary day by day
Days are generated automatically from the dates you entered, so you start with a ready-made structure. For each day, give it a title, write a description of what happens, and upload a cover photo. Then add segments to that day to fill in the detail.
The segment types you can add to each day are Activity, Accommodation, Transfer, Meal, Flight, and Free Time. Each type has its own icon on the client-facing page so the itinerary is easy to scan. You can drag segments to reorder them within a day, and you can drag whole days to reorder them across the itinerary.
If you already have an experience in your Zuru catalogue that belongs in the proposal, link it to a segment and the title, description, and photos fill in automatically. No retyping.
3. Add inclusions, exclusions, and terms
Zuru pre-fills your standard inclusions, exclusions, and terms from your operator defaults. Review them and edit for this specific proposal if needed. Your defaults stay unchanged for the next one.
4. Set your pricing
Set a total price for the trip. If you want to show the client a breakdown, you can add pricing items per day, each with a description and a per-person cost, and Zuru rolls them up into the total automatically.
Choose whether the client pays the full amount upfront or a deposit now with the balance due later. If you choose deposit plus balance, set the balance due date and Zuru tracks it from day one.
5. Send the proposal
Send the proposal directly from Zuru by email, or copy the share link and send it via WhatsApp. Your client receives a branded, mobile-first page that opens with no login and no app required.
Tracking the Proposal
Every proposal has a live status visible in your proposals list: Draft, Sent, Viewed, Accepted, Expired, or Cancelled. You are notified the moment your client opens the link and again when they pay. This means you know exactly when to follow up without sending a "just checking in" message blind.
Proposals expire after a set number of days if not accepted. The default is seven days. If a proposal expires, you can duplicate it as a starting point and send a fresh one.
